Assign and Enable Self-Service

To enable eControl Service to normal users, user groups have to be assigned to the service and the assignments have to be configured. As part of the planning process, "eControl Self-Service" group objects should have been created and desired users should be added as members to those groups. In addition, ensure that the source template objects for "Create" users include the respective "eControl Self-Service" group so new users created in eControl are automatically enabled for Self-Service.

Assign a Group to Self-Service

To enable a group of users to eControl Self-Service:
  1. In the "Self-Service" page under the "Administration" panel, click the Add button.
  2. In the "Add Group" window:
    • Use the "System Name:" drop-down button to select the desired Directory system.
    • Click the "Group Context: browse button, navigate the Directory and select the group to assign to Self-Service.
  3. Click the Add button to create the assignment.

Configure the Self-Service Assignment

Double-click a group listed in the Self-Service Groups pane to open the "Group Information" window. Each Self-Service assignment can be configured for:
  • Reset Password - enable users to reset their own passwords
  • Forgot Password - enable users to reset their passwords if they forgot them
  • Manage Lists - enable users to add or remove themselves from groups and mail distribution lists

Enable Reset Password

To enable and configure the reset password feature:
  1. In the "Group Information" window, under the "Reset Password" tab, check the Allow user to reset password(s) option.
  2. Select the password reset combinations that the user will be allowed to choose from.
  3. Do not click the Save button until all the Self-Service options have been configured.

Enable Forgot Password

To enable and configure the forgot password feature:
  1. In the "Group Information" window, under the "Forgot Password" tab, check the Enable 'Forgot Password' option.
  2. Select the desired 'Forgot Password' questions strategy. At least one option must be selected:
    • Select User can define his/her own 'Forgot Password' questions, and / or
    • Select User can select admin-defined 'Forgot Password' questions. If this option is selected:
      • Select which questions from the master question list to make available to each assigned user.
    • (Optional) Select User must answer a minimum number of questions and specify a value for the Minimum questions:.
  3. Do not click the Save button until all the Self-Service options have been configured.

Enable Managed Lists

To enable and configure the managed lists feature:
  1. In the "Group Information" window, under the "Managed Lists" tab, choose which managed lists options to enable:
  2. Select _Members of this group may self manage their Directory Service group membership and click the Configure... button:
    • In the "Managed Directory Groups" window, click the Add new button.
    • In the "Search groups:" field add a query value to will display the desired list of groups from the Directory, e.g. Be* will list all groups whose name starts with Be, and click the Search button.
    • Use CTRL + mouse click to select the groups to add and click the Add selected button.
    • Click the Close button to save the selected groups list.
  3. Select _Members of this group may self manage their Directory Service group membership and click the Configure... button:
    • In the "Managed Distribution Lists" window, click the Add new button.
    • In the "Search distribution lists:" field add a query value to will display the desired list of distribution lists from the Directory, e.g. DL Ber* will list all distribution lists whose name starts with DL Ber, and click the Search button.
    • Use CTRL + mouse click to select the distribution lists to add and click the Add Selected button.
    • Click the Close button to save the selected distribution lists.
  4. Click the Save button to save all the feature settings that have been configured for this group assingment.
  5. Click the Apply New Setting button to enable self-service for the assigned group(s).
